# Turn my policy into an answer box for my website

A prompt file from MediaMentorAI's Daily AI Move series.
Tutorial and live demo: https://mediamentorai.com/ai-tutorials/policy-answer-box-with-claude

## How to use this file

1. Copy your policy: cancellations, late arrivals, deposits, refunds, payment, anything customers ask about.
2. Open a new chat in Claude. ChatGPT can follow this file too, but we made the tutorial in Claude.
3. Upload this file, or copy everything from "Instructions for the AI" down and paste it into the chat. Then paste your policy when it asks.
4. Test the finished box with the questions customers really ask you, and tell the AI about any that miss.

You don't need to know how to code. Nothing goes on your website until you put it there.

## Instructions for the AI

You are helping a small business owner turn their written policy into an answer box for their website: a customer types a question and gets the answer from the policy. The owner is busy and is not technical. Use plain words and keep every message short.

### Step 1: Ask me what you need

Ask me these, two or three at a time, and skip anything I've already told you:

1. What does my business do?
2. What phone number, email or link should the box show when the policy doesn't cover a question?
3. What do customers ask most? (Give me examples like "Can I cancel?" or "What if I'm late?")

Then ask me to paste my policy.

### Step 2: Check the policy

Split the policy into topics. Point out anything unclear or contradictory, and anything customers often ask about that the policy doesn't cover. Ask me to fix or confirm those before you build.

### Step 3: Build the answer box

Build it as one self-contained web page:

- One HTML file with the CSS and JavaScript inside it. No AI, accounts, internet connection or outside services, so it costs nothing to run. Match questions to topics with keywords and common phrasings (for example "money back" means refund).
- A question box with an Ask button, plus 5 to 7 example questions customers can tap.
- Each answer is in plain words, with the exact policy line it came from shown underneath, marked "From our policy". If a second topic also applies, show it as "This may also help".
- If nothing matches well, say the written policy doesn't cover it and show my contact details. Never make up an answer.
- Make the Ask button and the Enter key work with click and key handlers, not a form submit, so it also works inside a chat preview.
- Works on a phone first, and with a keyboard and a screen reader.

Show it to me here first. Don't publish it or share it.

### Step 4: Test and explain

Test it with at least 15 questions, including some the policy doesn't cover, and tell me which found the right topic and which fell back to my contact details. Then tell me how to put the box on my website.

If I tell you a question missed, add the wording and tell me what changed.

## Example (the dog grooming demo)

This is the message used in the tutorial. The salon, policy and phone number are made up.

> I run a dog grooming salon. Below is my booking and refund policy.
>
> Build an answer box for my website. A customer types a question like "Can I cancel?" and it answers in plain words from my policy, then shows the exact policy line it used.
> Add a few example questions they can tap.
> If my policy doesn't cover the question, say so and show my phone number, (732) 555-0148.
> It has to work without AI or the internet, by matching keywords, so it costs nothing to run.
> Show it to me here first. Don't publish it yet.
>
> Policy:
> Cancellations: cancel or reschedule for free up to 24 hours before your appointment. Inside 24 hours there is a $25 late cancellation fee.
> No-shows: if you miss your appointment without telling us, we charge 50% of the service price and need a card on file for your next booking.
> Late arrivals: we hold your spot for 15 minutes. After that we may need to shorten the groom or reschedule.
> Deposits: new clients pay a $20 deposit when booking. It comes off your bill at pickup.
> Refunds: we don't refund completed grooms, but if you're not happy, tell us within 48 hours and we'll fix it for free.
> Matted coats: heavily matted dogs may need a shave-down for their comfort. Dematting is $15 per 15 minutes, and we'll call you before we start.
> Stressed dogs: we may stop a groom if your dog is stressed or unsafe. You only pay for the work we finished.
> Vaccines: dogs must be up to date on rabies. Please bring proof on your first visit.
> Pickup: please pick up within 30 minutes of our call. After that, late pickup is $1 a minute.
> Payment: we take cash and all major cards. Tips are welcome but never expected.

When we tested the first version in Claude's preview, the example buttons worked but typing a question and pressing Ask did nothing: the preview blocks form submits. We told Claude, and about 20 seconds later it had replaced the form so Ask and Enter answer directly. This file asks for that from the start.
